Building a Single Source of Truth for RevOps
How to decide which system owns which data and enforce it across your entire tech stack.
Every RevOps team dreams of a single source of truth. The reality is usually multiple systems with conflicting data and no clear ownership. Here's how to fix it.
The first step is accepting that you can't have one system for everything. Your ERP is better at financial data. Your CRM is better at relationship data. Your marketing platform is better at engagement data. The goal isn't to eliminate systems—it's to clearly define which system owns which data.
Create a data ownership matrix. List every key data element (customer name, billing address, contract value, etc.) and assign exactly one system as the owner. That system is the source of truth, and all other systems receive updates from it.
Ownership means write authority. If NetSuite owns billing address, then changes to billing address should only happen in NetSuite. Other systems can display the data but shouldn't allow edits. This prevents the conflicting updates that create data chaos.
Enforce ownership through your integrations. Configure sync direction so owned data only flows outward from the source system. Block or flag updates that try to modify owned data in non-authoritative systems.
Document and communicate the ownership matrix. Every team that touches revenue data should know which system owns what. Post it on your wiki, review it in onboarding, reference it when questions arise.
